POSITION SUMMARY:  Our client, headquartered in St. Louis, is a leading contributor to the retail food industry.  They currently seek an Executive Assistant to support their CEO and serve as the primary point of contact for the CEO’s office.  This pivotal role also serves as liaison to the Board of Directors and members of the company’s leadership team.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Manage the CEO's daily schedule, anticipating needs and streamlining each business day including appropriate follow-up.
  • Maintain very active executive and auxiliary calendars by organizing meetings, appointments and contacts.
  • Provide support for the creation and dissemination of various forms of communication such as correspondence, memos, meeting materials and reports, ensuring clarity, accuracy and professional presentation.
  • Arrange detailed travel itineraries, both domestic and international, for the CEO, Board members and others as required.
  • Research, prioritize and follow-up on questions and issues, determining the appropriate course of action and responding accordingly.

  • Serve as liaison between the CEO’s office and internal departments, ensuring smooth communication and maintaining credibility.
  • Various administrative tasks including expense reporting, greeting guests, directing inquiries, etc.
  • Manage and execute special projects as assigned.

POSITION QUALIFICATIONS:

  • High school diploma required; Bachelor’s degree preferred.
  • 8-10 years of executive assistant experience required including at least 5 years supporting C-suite level executives.
  • Strong proficiency in Microsoft Office, especially Outlook, Word, PowerPoint.
  • Comprehensive understanding of office management procedures and systems.
  • Strong interpersonal skills with the ability to build relationships at all levels of the organization.
  • Expert written and verbal communication skills.
  • Highly organized with ability to multitask and prioritize while maintaining exceptional attention to detail.
  • Proactive thinker who seeks opportunities and proposes solutions.
  • Demonstrated ability to exercise discretion and maintain confidentiality.
  • Quickly adapt to changes in situations and priorities; consistently meet deadlines in a fast-paced environment.
